Overview

The Stored Budgets feature allows you to:

  • View all saved budgets in one place
  • Access full budget details including all tables and analysis
  • Compare scenarios side-by-side
  • Reference past budgets for planning and reporting
  • Track budget versions over time

Why Use Stored Budgets?

Accessing Stored Budgets

  1. Log in to AHQ Financials
  2. Go to BudgetStored Budgets (or similar menu item)
  3. You'll see a list of all your saved budgets

What You'll See

  • Budget cards showing key information
  • Filter/sort options (if available)
  • Empty state if you haven't saved any budgets yet

Each budget is displayed as a card with:

Budget Name

"Q1 2024 Operating Budget - Conservative"
  • The name you gave when saving
  • Make it descriptive for easy identification

Creation Date & Time

Created: February 5, 2024, 2:30 PM
  • When the budget was generated and saved
  • Helps track versions

Created By

By: John Founder
  • Who generated and saved the budget
  • Useful for team collaboration

Viewing a Budget

Opening a Budget

  1. Click "View Budget" on any budget card
  2. The budget detail view opens

Budget Detail View

  • Budget name (large heading)
  • Back button - Return to budget list
  • Creation info - Date/time and creator

Four Tabs

Tab 1: General Info

  • Full budget narrative and analysis
  • Executive summary
  • Key assumptions
  • Strategic recommendations
  • Risk factors
  • Overall financial outlook

Tab 2: Revenue

  • Revenue projections
  • Tables showing:
    • Monthly/quarterly revenue forecast
    • Revenue by product/category
    • Growth rates and trends
  • Full narrative explanation

Tab 3: Costs

  • Cost projections and breakdowns
  • Tables showing:
    • Personnel costs
    • Operating expenses by category
    • Fixed vs. variable costs
    • Hiring timeline
  • Detailed cost assumptions

Tab 4: Cash Flow

  • Cash flow projections
  • Tables showing:
    • Monthly cash position
    • Inflows and outflows
    • Cumulative cash balance

Switch Between Tabs:

  • Click tab names at the top
  • Review each section thoroughly

Scroll Through Content:

  • Each tab may have multiple tables
  • Narrative text explains the numbers

Return to List:

  • Click "← Back to Budgets" button
  • Your position in the list is maintained

Comparing Budgets

While the app doesn't have a side-by-side comparison feature yet, here's how to compare budgets:

Method 1: Open in Multiple Windows/Tabs

  1. Open budget list in main window
  2. Right-click on first budget → "Open in new tab"
  3. Right-click on second budget → "Open in new tab"
  4. Switch between tabs to compare

Use for:

  • Comparing two specific scenarios
  • Checking what changed between versions

Method 2: Take Notes

  1. Open first budget

  2. Note key metrics:

    • Total revenue projection
    • Total cost projection
    • Ending cash position
    • Key assumptions
  3. Return to list

  4. Open second budget

  5. Compare notes

Example comparison notes:

Conservative Budget:
- Year 1 Revenue: $2.4M
- Year 1 Costs: $2.1M
- Net profit: $300K
- Ending cash: $800K

Base Budget:
- Year 1 Revenue: $3.0M (+25%)
- Year 1 Costs: $2.5M (+19%)
- Net profit: $500K (+67%)
- Ending cash: $1.1M (+38%)

Aggressive Budget:
- Year 1 Revenue: $3.6M (+50%)
- Year 1 Costs: $3.0M (+43%)
- Net profit: $600K (+100%)
- Ending cash: $1.2M (+50%)

Method 3: Export and Compare

  1. Open each budget
  2. Copy content from each tab
  3. Paste into spreadsheet (Excel, Google Sheets)
  4. Compare side-by-side

Pro tip: Create a comparison template with:

  • Budget name in column A
  • Key metrics in rows
  • Copy data from each budget

Best Practices

1. Use Descriptive Budget Names

Good Names:

"FY2024 Operating Budget - Base Case"
"Q1 2024 Conservative - Board Approved"
"Series A Budget - Aggressive Growth"
"FY2024 v2 - Updated with Q1 Actuals"
"Board Meeting March 2024 - Moderate Scenario"

Avoid:

"Budget 1"
"New Budget"
"Test"
"Untitled"
"Final"

Naming convention template:

[Time Period] [Purpose] - [Scenario] [Version]

Examples:

2. Save Multiple Scenarios

Recommended approach:

  1. Conservative - Cautious assumptions

    • Use for: Internal planning, risk management
  2. Base Case - Most likely scenario

    • Use for: Primary planning, board discussions
  3. Aggressive - Optimistic assumptions

    • Use for: Fundraising, growth planning

Save all three with clear names:

3. Version Your Budgets

When updating budgets, include version numbers:

"FY2024 Operating Budget v1" (Initial)
"FY2024 Operating Budget v2" (Post Q1 actuals)
"FY2024 Operating Budget v3" (Board approved)

Why version?

  • Track how budget evolved
  • Reference specific versions in meetings
  • Understand impact of assumption changes

4. Add Context to Names

Include why the budget was created:

"FY2024 Budget - Board Presentation March"
"Q1 Budget - Hiring Freeze Scenario"
"FY2024 Budget - Post Series A Raise"
"2024 Budget - Conservative (COVID Contingency)"

5. Regular Review Schedule

Quarterly:

  • Review saved budgets
  • Compare to actuals
  • Note what assumptions were accurate/inaccurate

When significant changes occur:

  • Generate and save updated budget
  • Reference original for comparison
  • Document what changed and why

6. Clean Up Old Budgets (Future Feature)

While deletion isn't currently available:

  • Use naming to mark outdated budgets: "ARCHIVED - Q1 2023 Budget"
  • Focus on recent, relevant budgets
  • Contact support to remove truly unnecessary budgets

  1. Generate and save three budgets:

    • Review all three in Stored Budgets
    • Export key tables to presentation

  3. During meeting:

Scenario: You want to see how your Q1 budget compared to actuals.

Steps:

  1. Open "Q1 2024 Budget - Base Case" from Stored Budgets
  2. Note revenue and cost projections by month
  3. Compare to actual results (from Financial Data)
  4. Learn what assumptions were accurate
  5. Generate improved Q2 budget using insights

Use Case 3: Fundraising Preparation

Scenario: Preparing for Series A fundraising.

Steps:

  1. Generate optimistic budget: "Series A - 2024-2026 Aggressive"
  2. Generate realistic budget: "Series A - 2024-2026 Base Case"
  3. Save both to Stored Budgets
  4. During investor meetings:
    • Present aggressive case for opportunity
    • Have base case ready for due diligence questions

Steps:

  1. Generate: "FY2024 - No Expansion"

  5. Compare in Stored Budgets:

Troubleshooting

Budget List Not Loading

Issue: Stored Budgets page shows loading forever or error

Solution:

  • Refresh the page
  • Check internet connection
  • Clear browser cache
  • Try different browser
  • Contact support if persists

Can't Open a Budget

Issue: "View Budget" button doesn't work

Solution:

  • Refresh the page
  • Try opening a different budget
  • Check browser console for errors
  • Contact support with budget name

Budget Details Missing or Incomplete

Issue: Opened budget but some sections are empty

Solution:

  • Check all four tabs (content may be in different tab)
  • Some budgets may not have tables if AI output varied
  • General Info tab always has full text
  • Contact support if important data is missing

Can't Find a Budget

Issue: You saved a budget but don't see it in the list

Solution:

  • Refresh the page
  • Check if you're logged in correctly
  • Verify the budget was actually saved (look for success message)
  • Contact support with budget name and approximate save time

Budget Shows Old Data

Issue: Budget doesn't reflect latest information

Solution:

  • Budgets are snapshots - they don't update automatically
  • Generate a new budget with current data
  • Save it with a new name/version number
  • Reference the new budget going forward

Frequently Asked Questions

Q: How long are budgets stored?

A: Indefinitely. All saved budgets remain accessible unless you request deletion.

Q: Can I delete or archive old budgets?

A: Currently, budgets cannot be deleted directly. Contact support if you need budgets removed.

Q: Can I edit a saved budget?

A: No, saved budgets are read-only snapshots. To make changes:

  1. Note what you want to change
  2. Generate a new budget with updated assumptions
  3. Save it with a new name/version

Q: Can other team members see my budgets?

A: Yes, budgets are shared with your company team. All team members with appropriate permissions can view stored budgets.

Q: Can I export budgets?

A: You can copy and paste budget content. Full export features (PDF, Excel) may be added in future updates.

Q: How many budgets can I save?

A: No limit. Save as many versions and scenarios as needed.

Q: Do budgets update automatically with new financial data?

A: No, budgets are static snapshots. To reflect new data:

  1. Upload new financial data
  2. Generate a new budget
  3. Save it as a new version

A: Currently, budgets are only accessible to logged-in team members. External sharing features may be added in the future.

Q: How do I know which budget is the "latest"?

A: Check the creation date. Use clear naming and versioning to track which budget is current.

Q: Can I restore a deleted budget?

A: Budgets cannot be deleted directly, so there's no restore function. If a budget appears to be missing, contact support.
